Scholarships and Financial Aid Release
If your university scholarship and/or financial aid money will be released after the above April 15 payment deadline, you must email KIIS a completed KIIS Promissory Note.

KIIS Promissory Note Submission Date:
  By April 15.

For Example:
If your KIIS program fee with airfare is $4800 and your promissory note indicates $4000, you must pay KIIS $2000 on March 15, and      provide KIIS your promissory note by April 15 and pay KIIS the remaining $2800 when the funds on your promissory note are made      available.
If your promissory note is for $1500, then you would pay KIIS $2000 on March 15 and $1300 on April 15 and then the remaining $1500      when the funds on your promissory note are made available.

KIIS Promissory Note Payment of Funds:
Students must be paid in full prior to KIIS program departure whether funds have been disbursed or not.
Exception: if amount listed on promissory note will be paid by the college or university directly to KIIS, promissory note funds may      arrive after the KIIS program departure.
If the university releases the money directly to the student, the student is responsible to make payments to KIIS immediately after      receiving funds from the university (and prior to program departure). It is the student's responsibility to check their accounts and ensure      receipt and payment of money. Failure to make these payments on time may result in late fees or cancellation in a program.

KIIS Scholarship recipients will have their scholarship award deducted from their total program fee.

Other Payment Rules
Failure to make the first $2000 payment or final payment by the above deadlines may result in the student's cancellation from the      program. If reinstated to a program after missing a payment deadline, student may incur late fees.

Late Fees: a $150 late payment fee will be applied (added to the student's MyKIIS account) on the 11th day following the payment      deadline (first and/or final payment deadline). A separate $150 late fee will be applied on the 6th day following the deadline for any late      KIIS Admitted Student Documents (the link to which is found in the student's official KIIS acceptance email).

Any applicant who is accepted after March 15 is required to pay the $2000 fee immediately upon receipt of official acceptance. Applicant      may also incur late fees.

Any applicant who is accepted after April 15 is required to pay the full program fee immediately upon receipt of official acceptance.      Applicant may also incur late fees.

If a student cannot attend the mandatory KIIS orientation, a $150 fee will be added to the student's program fee to cover the cost of      carrying out an individual orientation.

Students must be paid in full in order to participate in a KIIS study abroad program (scroll down for payment options).

Participants not presently matriculated at a consortium-member school must add $300 to their program fee. However, students from
non-consortium schools who are past participants in KIIS programs do not pay the $300. Teachers in Kentucky, alumni of
consortium-member schools, and KIIS Semester program applicants also are exempt from the $300 fee.

All students must have a valid passport to travel abroad. Typically, passports must be valid for six months after one's return to the U.S. If      a student does not have or receive his or her passport by the date of KIIS program departure, KIIS will not provide the student with a      refund of any kind. It is the student's responsibility to ensure that he or she has a valid passport prior to program departure.

Non-US citizens must ensure they have any necessary visa(s) to enter the program country/countries, if applicable. If asked, KIIS will      furnish the student with a letter supporting their visa application (to their program country). If a student does not obtain a visa prior to      departure, or is denied a visa at the foreign Embassy or Consulate, or at the point of entry into the country, KIIS will not be held      responsible and, if after April 15 (or June 1 in the case of KIIS Fall Semester programs; November 15 in the case of KIIS Winter      programs; or December 1 in the case of KIIS Spring Semester programs), will not provide the student with a refund of any kind.

If the airline or the Transportation Security Administration (TSA) refuses to allow a student to board his or her flight to the KIIS program      site, and as a result the student is unable to participate on their KIIS program, KIIS will not provide the student with a refund of any kind.

Although KIIS tries to foresee all possible expenses in formulating program fees, dramatic fluctuations in foreign currency valuations      and/or airline fuel surcharges may affect the total cost of your program.

Flight Info
At the time of application, students are asked to select Option 1 (make their own flight arrangements) or Option 2 (travel to and from the program site on the group flight). After submitting their application, students cannot change their Option 1 or Option 2 selection. A student's program fee will reflect his/her Option 1 or Option 2 flight selection.

On April 1, the actual group flight (Option 2) price will be posted to the MyKIIS account of each student who selected Option 2 during the online application process. Prior to April 1, the Option 2 price will show just the program fee (without flight). To view the flight price range for Option 2, visit the individual program pages. For example, if Option 1 is listed online at $3,500, and Option 2 is listed at $5,000 - $5,200, then the group flight for that KIIS program will cost between $1,500 and $1,700. On April 1, the actual group flight price (using the example above, somewhere between $1,500 and $1,700) will be posted to the account of each Option 2 student.

In the period between April 1 and program departure, the airline carrier may add a fuel surcharge to the cost of the group flight (this is beyond our control); if so, KIIS will add the cost of the group flight fuel surcharge to each Option 2 student's account. Read the KIIS
Flight Info section before making your Option 1 or Option 2 selection.

KIIS Refund Policy
Any request to withdraw from a KIIS program must be done in writing by emailing haley.mctaggart@wku.edu.

The $250 application deposit will be refunded if:
a student with a complete application is not accepted into his/her program
a student is placed on a waiting list and a space does not become available
a student on a waiting list is offered a space on another KIIS program and declines the offer

The $250 application deposit will not be refunded if:
a student withdraws his/her application at any time for any reason
a student is removed from his/her program due to non-payment of program fees or not submitted Admitted Student forms on time.
a student on a waiting list is offered a space in his/her program but decides not to accept it
a student's KIIS application remains incomplete (i.e. missing transcript, faculty rec, etc.) following the regular application deadline

The program fee:
after March 15 and before April 15 the cancellation fee will comprise all unrecoverable fees that have been committed and/or paid on a      student's behalf (such as airline tickets, housing deposits, faculty costs, etc.) plus a $700 administrative fee

after April 15, no refunds will be made. Students are responsible for their entire KIIS program fee (airfare included, if on the group      flight) should they withdraw from their KIIS Summer program after April 15.

for Fall Semester programs: the above two payment/refund dates correspond to May 1 and June 1.
for Winter programs programs: the above two payment/refund dates correspond to Oct. 15 and Nov. 15.
for Spring Semester programs: the above two payment/refund dates correspond to Nov. 1 and Dec. 1.

Although Ball State, Berea, and WKU students pay their insitutions directly for their KIIS program fees (and the university in turn pays      KIIS directly), all students are subject to the same KIIS refund policies (i.e. After April 15, no refunds will be given. A student who      withdraws after April 15 will be responsible to pay their insitution the entire KIIS program fee.)

If a student does not obtain a visa prior to      departure, or is denied a visa at the foreign Embassy or Consulate, or at the point of entry into the country, KIIS will not be held      responsible and, if after April 15, will not provide the student with a refund of any kind.

If the airline or the Transportation Security Administration (TSA) refuses to allow a student to board his or her flight to the KIIS program      site, and as a result the student is unable to participate on their KIIS program, KIIS will not provide the student with a refund of any kind.

Group airfare (Option 2):
to save students money, typically KIIS purchases the least expensive group airfare available; such tickets are non-refundable.

Cancellations:
In the event that KIIS cancels a program and returns student participants to the United States, the amount of the program fee will be      refunded to the student minus already expended funds.

CISI Insurance (Cultural Insurance Services International), KIIS provides Trip Cancellation—Terrorism. The benefit pays up to $5000 of      protection to recover non-refundable expenses already paid due to loss if the scheduled trip must be canceled within 45 days of      departure due to terrorist activities (as determined by the U.S. State Department).

Through CISI, KIIS provides students and faculty with Security Evacuation Protection designed to provide evacuation services in the      event of threats of political, security, and natural disaster in the host country (the benefit pays for the evacuation of students and faculty      from the host country and their return to the U.S.).

Through CISI, KIIS provides a Trip Interruption Benefit which returns a KIIS participant to the U.S. (and back to their KIIS program if      desired) in the event a family member (parents, children, siblings, or grandparents) passes away or becomes gravely ill.

KIIS does not provide other forms of trip cancellation insurance (i.e. should you need to cancel your participation in the program prior to      departure or leave the program prematurely while abroad). Should you wish to purchase trip cancellation insurance (recommended),      consider Worldwide Trip Protector through Travel Insured International or various options through www.insuremytrip.com

KIIS reserves the right to cancel any of its programs due to war, political unrest, terrorism, natural disaster, low enrollment, unforeseen      circumstances, or a travel warning issued by the U.S. State Department.

Expulsion: KIIS has established certain rules and guidelines for participation, both general and program-specific. As participants, students are expected to conform to acceptable standards of behavior. Any student who, in the judgment of the Program Director, does not behave accordingly will receive a disciplinary warning or be expelled from the program. Any costs so incurred (including in-country transportation, lodging, meals, and transportation for immediate return to the United States) will be borne by the student. KIIS reports all disciplinary incidents, including expulsion, to the participant's home institution. Each home institution reserves the right to take further action against the participant. Expulsion from a KIIS program will result in the termination of status as a program participant and failing grades in all KIIS courses. KIIS will provide an official transcript of the failing grades to the student's home institution. No refund of any kind is issued to any student dismissed from a KIIS program. Once dismissed, the former participant is not permitted to remain in KIIS program facilities (such as housing) nor participate in any KIIS program group activities.
